Purpose of the role:

To provide in-depth, pro-active, high-level and confidential support to the Chief Executive Officer (CEO) of Tidal lagoon Plc. The main purpose of this role is to provide a full executive support to the CEO to enable him to fulfil his role to the highest degree of professionalism and effectiveness, therefore improving the overall efficiency of the company as a whole.

 

Key responsibilities & accountabilities:

  • Complex diary scheduling: arranging meetings with VIPs and key stakeholders as well as key investors by phone and email.
  • Arrange internal meetings and also co-ordinate, prepare and sometimes draft meeting agendas / papers and ensure these are given to the CEO (and meeting participants if necessary) in advance of meetings to allow sufficient preparation time.
  • Manage the CEO’s time effectively.
  • Oversee management of travel arrangements for the CEO. (Often involving very complex itineraries).
  • Responsible for instigating and arranging regular weekly meetings with the CEO to review emails, actions, calendars etc. and to discuss current priorities.
  • Management of the CEO’s inbox and emails including prioritising and filtering emails, responding to queries and investigating and escalating actions as necessary.
  • Conserve the CEO’s time by management of routine correspondence; drafting letters and documents; collecting and analysing information; initiating telecommunications.
  • Maintain the CEO’s confidence and protect operations by keeping all shared information confidential.
  • Point of contact for all the CEO’s direct reports.
  • Responsible for communication to direct reports in regards to project work, tasks, key messages and ensuring that deadlines are kept to and met.
  • Effortless in managing changing priorities and keeps focused from one challenge to the next.
  • Preparation of presentations to a high level.
  • Ensure delivery on commitments.
  • Ensure that there is thinking time set aside weekly for the CEO to concentrate on key focus areas.
  • Obtain a good working knowledge of CEO’s presentations and have the capability to update CEOs presentations where required.
  • Be a point of contact for members of the public, stakeholders and customers and to assist with queries on the CEO’s
  • Ensure the CEO is aware of key deadlines and support him to meet these deadlines.
  • Support the Group’s performance appraisal process by ensuring appraisals of the CEO’s direct reports take place, type up notes, format the correct HR documents, send to HR and file (electronic and paper).
  • Organise board packs for board meetings and ensure circulation in advance.
  • Build up a knowledge of key projects and CEO meetings. Where necessary attend such meetings representing the CEO and then provide the CEO with precise and detailed notes following meetings.
  • Responsible for banking, transfers, deposits etc.
  • Oversee company and CEO charitable donations.
  • Oversee PA activities, i.e. researching, planning and booking holidays, arranging childcare, Management of personal affairs and managing small holding.

 

Skills, capabilities & knowledge

  • Outstanding organisational and time management skills.
  • Degree qualified or equivalent.
  • Significant previous experience in supporting a CEO of high end, political or private sector.
  • Has the ability to build and maintain effective relationships with CEO’s business peers.
  • Have experience of working in an entrepreneurial environment.
  • Good recall.
  • Enjoys being meticulous and takes pride in it.
  • Capable of staying abreast of changing priorities
  • Ability to think a step ahead of the CEO.
  • Quick learner with the ability to multi-task in an extremely fast paced environment.
  • Ability to manage and schedule complex calendars and itineraries.
  • Excellent communication skills both oral and written and ability to adjust communication style to suit a range of different stakeholders.
  • Ability to find solutions quickly and efficiently.
  • Proactive – identifies areas to improve and implements them.
  • Advanced Microsoft Word and PowerPoint along with intermediate Excel skills.
  • Advanced user of Microsoft Outlook.
  • Ability to discern what is important and what is not and to prioritise accordingly.
  • High attention to detail, accuracy and proof-reading skills.
  • Self-starter with an ability to prioritise workload and work to tight deadlines.
  • Resilient under pressure.
  • Honesty and integrity.
